How to Fulfill a Document Request in Transcend
This guide provides step-by-step instructions for fulfilling student document requests, such as transcripts, within the Transcend platform.
Step 1: Locate the Fulfill Request Section
Once you have opened a specific request, scroll down to the Fulfill Request card. This section lists the specific documents the requester has asked for, such as a High School Transcript or Middle School Transcript.
Step 2: Upload the Required Documents
For each requested item, you must attach the corresponding file:
- Click the Add File(s) button under the specific document category.
- Select the file from your computer or drag and drop the files directly into the upload area.
- Once the file is attached, the filename will appear directly under the category heading.
Step 3: Send Documents to the Requester
After all necessary files are attached, click the Send Documents to Requester button at the bottom of the card.
Step 4: Finalize the Request with Notes
A Complete Request dialog will appear to finalize the process:
- Internal Fulfillment Note: Enter details intended for internal audit purposes (e.g., "ITEMS SENT"). This note is not visible to the student.
- Public Message to Requester: Type a message that the student will see in their tracking portal. You can type a custom message or use Approved Templates.
- Click Finalize Fulfillment.
Step 5: Verify Completion
Once finalized, the system updates the record:
- The request status changes to Fulfilled.
- The Status History log shows a new entry for the completion.
- Uploaded documents are now listed in the Fulfillment Records card, located just above the fulfillment section, where you can view them or print a record of all items sent.
Tip: You can add additional document categories if needed by clicking the Add Extra Document Category button before sending the documents.
